Creating & Running Email Outreach Campaigns

Gig Central's Outreach Campaigns allow you to automate multi-step email campaigns to event planners, maintaining personalized messaging at scale.

This guide walks you through creating templates, configuring schedules, and monitoring campaigns.


1. Creating Campaign Templates

  1. Navigate to Campaigns > Templates.
  2. Click Create Template and name your pitch sequence (e.g., "Corporate Association Pitch").
  3. Write follow-up steps (e.g., Step 1: Initial Pitch, Step 2: Follow-up case studies 5 days later).
  4. Use variables like {{first_name}} to personalize fields automatically. See Rich Text Variables for details.

2. Enrolling Leads & Auto-Pausing

To enroll planners in your campaign:

  • Open the target contact card or prospecting lead.
  • Click Enroll in Campaign and select your template.
  • Reply Pausing: The system monitors incoming emails. The moment a contact replies, the sequence pauses immediately to prevent sending redundant follow-ups. See Reply Pausing for more details.

3. How It Works (Behind the Scenes)

  • Delivery Dispatchers: The outbox processor sends scheduled emails through your connected account settings. See SMTP & SES Hybrid Routing for options.
  • Queue Managers: Outbound traffic is buffered, sending emails at irregular intervals to look organic.

4. Best Practices for Campaign Conversions

  • Focus on Case Studies: Include reviews and star ratings from past events in follow-up emails to showcase your speaking ROI.
  • Limit Campaign Length: Keep pitch sequences under 3-4 steps to prevent email providers from marking messages as spam.
