Email Queue Delivery & Retry Mechanics

Guide for the Email Queue Processor module.

Gig Central uses an Email Queue Processor to protect your outbound campaigns and notifications from delivery failures and temporary server drops.

This guide details outbox queue management and retry rules.


1. Managing Temporary Outages

When you trigger campaigns or proposals:

  1. Email Queuing: Emails do not send instantly. They write to a database buffer first.
  2. Background Processing: The queue processor reads this buffer and dispatches emails using your connected SMTP credentials or verified system pathways.
  3. Automatic Resiliency: If a destination server throttles or drops connections, the email remains in the queue and retries automatically.

2. Outbox Retry Rules

The queue manager uses backoff delays for failed deliveries:

  • First Retry: 1 minute after failure.
  • Second Retry: 5 minutes after failure.
  • Third Retry: 15 minutes after failure.
  • Subsequent Retries: Delays double up to a maximum threshold, retrying up to 5 times.

3. How It Works (Behind the Scenes)

  • Database Queues: The queue worker processes emails using background loops.
  • System Dispatches: It connects to settings configured in SMTP & SES Hybrid Routing. If a personal SMTP server is unresponsive, it marks the email as pending and retries later.

4. Checking Queue Status

  • Monitor Outbox Logs: Navigate to Settings > Outbox Logs to review scheduled emails and retry statuses.
  • Update SMTP Settings: If you notice persistent authentication failures, recheck your credentials in Safe Inbox Sync.
