How to Configure Date-Offset Automations

Guide for the Task Automation Triggers module.

Gig Central uses Date-Offset Task Automations to calculate and schedule event milestones automatically (e.g., flight check-ins, slide submissions) relative to your speaking dates.

This guide explains configuring task lists and managing date offsets.


1. Creating Automated Checklists

  1. Navigate to Settings > Workflow Automations.
  2. Click Create Automation Rule.
  3. Add tasks and set their scheduling parameters relative to the event date:
    • Book Flights: 30 days before the event.
    • Send Slide Deck: 14 days before the event.
    • Submit Final Invoice: 1 day after the event.

2. Managing Dynamic Task Offsets

When you book a gig:

  • The system evaluates the event date from the Kanban CRM.
  • It calculates offsets and populates your checklist.
  • If the event date shifts, tasks recalculate automatically.

3. How It Works (Behind the Scenes)

  • Scheduling Math: Automation workers calculate task dates (e.g., event_date - 14 days).
  • Dashboard Sync: Tasks display on your active gig card and inside the Client Operations Portal as milestone reminders.

4. Common Workflow Automations

  • Travel Prep: Set tasks for booking hotels and flights 45 days in advance.
  • Deliverables: Remind yourself to send AV requirements to the event planner 30 days before the keynote.
  • Follow-ups: Schedule a task to request testimonials and ratings 2 days after the presentation.
