Managing the Client Operations Portal

The Client Operations Portal is a secure, private webpage generated for each event. It aggregates headshot assets, billing histories, contracts, and travel logistics in one space.

This guide details portal settings and client interaction.


1. Accessing the Client Portal

Once an opportunity moves to the "Contracting" or "Booked" stages:

  1. Open the active gig card in the Kanban CRM.
  2. Click Copy Client Portal Link.
  3. Send the link to the event coordinator. Planners do not need passwords to login; the link uses a secure, private token.

2. Shared Portal Sections

Planners can access and manage these fields:

  • Media & Promotional Resources: Access and download high-resolution photos and biography sheets uploaded to your Global Asset Hub.
  • Contracts & Invoicing: Review contract signatures and complete deposit checkout payments via Stripe Billing.
  • Event Logistics: Planners can upload travel schedules, venue addresses, and slide deck requirements directly to your system.

3. How It Works (Behind the Scenes)

  • Dynamic Data Feeds: Portal actions sync with your CRM. If a planner uploads event logistics, the data instantly updates your gig card records.
  • Secure Access: Portals use read-only tokens, keeping your broader database safe from unauthorized modifications.

4. Tips for Portal Coordination

  • Embed in Confirmation Emails: Set up automation rules to send portal links automatically when opportunities shift to contracting stages.
  • Keep AV Riders Current: Keep your latest requirements updated in settings to ensure planners always download current specs.
