Customizing Kanban Stages & Trigger Automations

Guide for the Kanban Pipeline CRM module.

The Kanban CRM Pipeline is the operational core of Gig Central. It allows you to visualize your sales cycle, move leads through stages, and trigger backend operations automatically on state changes.

This guide explains pipeline stages, custom configurations, and trigger actions.


1. Default Pipeline Stages

Your default board is organized into five stages:

  1. Inquiry: New leads from the Magic Inbox or public contact forms.
  2. Discovery: Active conversations where you are qualifying fit and budget.
  3. Proposal: Branded packages sent to the planner.
  4. Contracting: Performance agreements under review or signature processes.
  5. Booked: Confirmed gigs awaiting delivery and travel planning.

2. Trigger Automations

Dragging a card from one stage to another initiates background rules:

  • Move to Proposal: Generates drafts in the Proposal Templates dashboard.
  • Move to Contracting: Prepares agreements inside E-Signatures and sends them to the planner's portal.
  • Move to Booked: Instantly generates travel tasks using Date-Offset Automations and blocks calendar slots.

3. How It Works (Behind the Scenes)

  • Pipeline Status Rules: Automation triggers listen for board stage updates. When a stage shifts, the automation worker evaluates rules and initiates tasks.
  • API Webhooks: Gigs marked as paid via Stripe Billing are automatically transitioned to the "Booked" column by our checkout listener.

4. Customizing Your Pipeline

  1. Navigate to Settings > CRM Pipeline.
  2. Click Add Stage or drag stages to reorder.
  3. Assign automation rules (e.g., "When gig moves to Stage X, create task Y").
