The Magic Inbox is your communications center. Instead of manually copy-pasting information from email clients into spreadsheets, you simply forward emails or connect your account to automatically parse, structure, and sync leads directly into your sales pipeline.

This guide walks you through locating your private address, how the AI extraction engine works, and leveraging advanced relationship features like ghosted detection and calendar conflict checks.


1. Finding Your Private Inbound Address

Every account is assigned a unique email routing token.

  • Navigate to Settings > Integrations > Magic Inbox (or go to https://gigcentral.ai/settings?tab=integrations).
  • Your private forwarding address is formatted as: inbox+yourtoken@gigcentral.ai.
  • We recommend saving this address in your email client's contacts as "Gig Central Inbox" for quick forwarding.

2. Ingesting Leads & Zero Data Entry

When you forward an email thread or receive an inquiry directly from your public Speaker Profile or webforms:

  1. Instant Inquiry Integration: Inquiries from your Speaker Profile page, webforms, or forwarded emails are instantly converted into trackable leads in your pipeline, so you never loose a gig.
  2. Auto-Parsing Logistics: Our email engine automatically extracts key details like event dates, target budgets, and venues, saving you from tedious data entry. See CRM Pipelines for details on how stages are structured.
  3. Contact Synchronization: New meeting planners are automatically identified and added to your contacts database, building your Rolodex with zero copy-pasting.

3. High-Value AI Inbox Features

Gig Central's inbox engine does more than just parse text—it actively manages the deal lifecycle:

  • Organized by Gig: All messages, replies, and attachments are automatically grouped under your CRM's Gig Details.
  • Ghosted Detection: If an event planner stops replying to your messages for more than three days, the inbox flags the conversation as "Ghosted." With one click, the system drafts a context-aware follow-up email tailored to the last conversation state, allowing you to re-engage the lead instantly.
  • Conflict Alert: Gig Central cross-references dates in the email with your calendar, immediately alerting you of potential conflicts before you draft a proposal.

4. Setting Up Auto-Forwarding Rules

You can fully automate this routing process by setting up routing rules inside your primary email client:

  • Gmail: Navigate to Settings > Forwarding and POP/IMAP. Add your custom inbox+yourtoken@gigcentral.ai address. Next, create a filter for incoming messages containing keywords like "keynote," "speaking fee," or "inquiry" and set the action to forward them to your Gig Central address.
  • Outlook: Navigate to Rules > Manage Rules & Alerts. Create a rule that forwards messages to your Gig Central routing email based on specific subject lines or sender profiles.
