Connecting Stripe & Reconciling Invoices

Guide for the Stripe Billing Integration module.

Gig Central integrates with Stripe to handle client billing. You can send invoices, collect credit card and ACH payments, and reconcile transactions automatically inside your CRM.

This guide walks you through Stripe integration and invoice management.


1. Connecting Your Stripe Account

  1. Navigate to Settings > Integrations > Payments.
  2. Click Connect Stripe and follow the Stripe Connect prompt.
  3. Once authorized, you can select standard payment options, including credit card or bank transfers.

2. Invoicing Workflows

When you create invoices for a gig:

  • Flexible Splits: Configure invoice schedules, such as a 50% deposit due upon contract signing and 50% due post-event.
  • Interactive Payment Buttons: Invoices populate checkout buttons inside the planner's Client Operations Portal.
  • Automatic Reconciliation: When a planner pays, webhook notifications mark the invoice as "Paid" and log transaction metadata.

3. How It Works (Behind the Scenes)

  • Stripe Webhook Listeners: Webhook listeners process payment status updates. When a charge succeeds, the database updates invoice statuses and transitions the gig's stage on the Kanban CRM.
  • Secure Transactions: Financial details are managed securely on Stripe's network; Gig Central only stores tokenized references.

4. Invoicing Settings & Tips

  • Verify Deposit Policies: Ensure your contract terms in E-Signatures match invoice structures.
  • Automate Receipts: Toggle "Auto-Receipt" in settings to send planners PDF receipts upon payment confirmation.
